How to use Apiary Management - BeeWeb Tutorial

BeeWeb apiary management app makes it really easy to organize all data about your apiaries and hives so you can find everything you ever wrote down about your hives in the past. For me, it was always a problem to find notes and pages in diary where I wrote down some important stuff and I have never been sure if I missed something. Lets see how easy is to organize your data now.

How to Add Apiary

As soon as you login for the first time, you will see this screen.

It is a starting point to use BeeWeb app.

First of all you need to add your apiary. It is pretty easy. You have button “Add apiary” on the right that will take you to the add apiary section. Enter your apiary name, and location. And that is it. You can adjust position of your apiary on the map by just clicking on the apiary icon and moving it to another location. When you finish procedure, just click Submit button and you have saved your first apiary.

Of course, you can add more apiaries if you have ones. And you can edit your apiary data any time you need that, like if you are moving your hives to different location. You have the list of the apiaries, and just click on Add apiary or Edit button for the procedure you want to do.

How to Add Hives

After you have created your apiary, next step is to add hives. Click on the hives in Apiary Management section on the left.

As you can see at the moment we don’t have any hives, but we will add them in a couple of seconds.

Click on the Add hive button on the right. You can add hives easily by entering name, usually the number of the hive in the apiary, also queen color and year, and type of the hive.

Few things to remember. If you don’t see the type of hive you are using in your apiary, let us know and we will add it asap.

Also, you will notice that when you add one hive, the next one have all data beside the name of the hive filled to speed up the process. Useful when you have a lot of hives. When you add hives, you will see the list of all hives in your apiary that you can edit.

Also, when you click on View in Hive info column you can view at any time everything you have ever done with that hive. At this moment it is empty as we have just added first hives.

OK, we have added apiary and hives.

The next one are inspections. Every time I visit my apiary I am doing something with my hives, and write that down to my diary. The problem is to find your notes once you need them. This should fix the problem.

How to Add Inspections

Lets go to inspection section and click Add inspection button.

Lets say this is first spring inspection, when we check our bees to see if everything is OK, and if they need something. We will add inspection name, date when we inspected hives and hours we spent in the apiary. After that you should add comments, everything that was important to remember and to check before next visit or during planning what to do.

Your first entry should be something like this. Once you are satisfied, click Submit.

Of course, you can add inspection whenever you want, or edit existing ones adding more comments or whatever you missed.

How to Add Treatments

One of the important activities you should track are treatments. Whenever you treat your hives for varroa mites for example, you should add a record. It is pretty easy to do that, and if you have already added inspections, you will find it similar.

Go to Treatments section in the left menu, and you will open a screen with all details about previous treatments. On the right you have a button Add Treatment, so for the first time lets click on the button and add new treatment. You will get screen like this.

After you have added your first treatment, treatment list page will make more sense. In the future it will have a list of all treatments you have made in your apiary and you can easily track and filter data. After adding first one, it will look like this.

How to Add Feedings

It is important as well to track data about feedings, to know when was the last time your hives had enough food. With Feedings section of our Apiary Management tool it is very easy to da this.

Just go to the Feedings section, and you will have all you previous feedings listed. To add new one click on Add Feeding button on the right. Fill out the form (choose apiary, add date when you have added food, which food and quantity, and select hives that you have added to). It is less than a minute process, and your data is in the app.

How to Manage Tasks

Managing tasks is also crucial part of our weekly job in Apiary. We used to use paper and pen, or recently various to do apps, and thought to add this feature to the same place where we manage other things related to apiary.

As you are now familiar with other parts of Apiary Management tool, it will be easy to use Tasks manager as well. Just add new tasks by clicking on Add Task button on the right.

Once you submit new task, it will be on the list. You can edit task later, changing date or description, and at the end once you finish the task, just click on the Complete button to mark it Done.

In the filter on the left, above the list, you can filter active and completed tasks, check out what have been done till now, and what left.

How to Manage Data About Revenue

Taking care about your revenue is also important part of beekeeping. Going broke won't help your bees, so knowing your buyers and revenue stream is very important.

To enter Revenue section, go to the left menu and click Revenue, just below Tasks option and you will see page like this.

To add revenue, just follow the procedure that we already explained. Click on the Add Revenue button on the right, and you will open new screen where you will be able to add what you earned these days and from which revenue stream.

Here is how it can look like with data from our apiary.

You can enter date of the transaction, name (like Honey sales, or Beehive sale, or whatever you are earning from), client name (who is paying to you), type of the product (honey, beewax, candle,...), quantity of sales and money you have earned.

After some time, your revenue home screen can look something like this, with revenue strems split into the month columns and with sums and filters where you can check out all the data.

How to Manage Data About Costs/Expenses

Similar to revenue, you should also take care about expenses during the year, and we have added section just for that, so you can spend less time tracking what you are spending.

To enter Expenses section, go to the left menu and click Expenses, just below Revenue option and you will see page like this.

Of course, initialy page will be empty, so you can start adding your expenses by clicking Add Expenses button on the right. Procedure is similar to revenue procedure, so you will get it with easily.

After adding expenses, your Expenses screen will look something like this, with option to filter all data and find what you need to check out.

Once you get familiar with interface, it should not take more than 5 minutes to add all data and have them in one place. Just do it regularly, and you won't need to look out for your notes anymore and where did you write down important stuff.
